MAIN RESPONSIBILITIES
- Serve as primary contact for the Chief Operations Officer’s (COO) Office and effectively manage and channel
- Efficiently manage the COO’s agenda;
- Coordinate internal and external meetings, including logistics, agenda creation and minutes-taking;
- Handle overseas trips and visa arrangements for the COO;
- Draft internal and external correspondence on behalf of the COO;
- Prioritise the COO's tasks and projects daily, monitor all documents or materials requiring his input and/or
approval; - Coordinate with operations and Head Office teams, as well as other stakeholders to act on administrative requests;
- Assist the Operations Project Manager in research and groundwork;
- Produce reports, presentations and briefs required for various operations meetings;
- Assist the COO in the elaboration of yearly operational budgets;
- Perform any other relevant duties as assigned, including handling a vast number of subjects pertaining but not limited to guest experience, training, F&B, Safety & Health, procurement and People & Culture matters.
QUALIFICATIONS AND PROFILE
- Higher School Certificate holder; a Diploma in Administration or Tourism would constitute an advantage;
- At least 5 years’ experience in a similar role;
- Excellent verbal and written communication skills in both English and French and impeccable presentation in line with operational standards;
- Comfortable with technology and online meeting tools (Teams, Zoom, Skype etc);
- Holder of a valid car driving licence is a plus;
- Prepared to assist the COO outside regular working hours and at various business units around the island;
- Exhibit strong attention to detail while working efficiently within specified deadlines;
- Maintain total confidentiality and personal sensitivity in all aspects of the role; A proactive team player eager to
quickly learn and adapt to new information and skills.
